Room Bookings/Reservations

The Office of College Events books/reserves most rooms available on campus for meetings, events or conferences. The rooms are reserved on a first-come, first-served basis. The Office does not reserve theatre, dance, or sports center spaces. All other spaces are reserved through the Office of College Events.

Daily E-mail

The Office of College Events publishes the daily e-mail, which is the primary source of information about campus events for the entire Sarah Lawrence community.This e-mail gives detailed daily listings of events and includes general announcements, dining services menus, physical education announcements,weekly meetings, and support groups.The deadline for submissions is 4 p.m. the day before the event. Announcements can be submitted early. Announcements are not accepted over the phone.You must submit the announcement in writing, or you can e-mail the announcement listing to collegeevents@sarahlawrence.edu.

Event Planning

The Office of College Events is the coordinator for all on-campus events. If you plan on having any type of event or meeting, it is important that you contact the office immediately to properly plan and organize your event. A member of the College Events staff will guide you through the steps in planning a successful event.

The following items should be kept in mind when planning an event:

Timing

Successful events require proper timing. It is recommended that a time frame of four to six weeks be considered for the proper planning and publicizing of an event.

Account Numbers

All on-campus events must be sponsored by a student group, faculty/administrative member, or department. The Office of College Events cannot begin planning your event without an account number.

Spaces

All rooms are reserved through the Office on a first-come, first-served basis. The Office of College Events books most on-campus rooms and can tell you whether the date and time you have selected will provide an audience with few conflicts.

Publicity

The Office of College Events provides support for campus publicity. This can include: poster/flyer design and distribution, table tents, and the daily e-mail and weekly calendar. If off-campus publicity (e.g. newspaper advertising) is desired, a minimum of six weeks is required. Off-campus publicity is handled through the Office of Communications (x2220) in Robinson House.To design and print a poster there is a $75 fee.You can design your own poster and print copies in College Events at $0.50 per copy.

Invitations/RSVPs

The Office of College Events can help you in the design, printing, and mailing of invitations.The Office also will take the responses (RSVPs) for your event if desired. A minimum of two weeks is requested for invitations.

Equipment

If you need additional equipment such as podiums, chairs, tables, trash cans, and/or registration signs, they must be requested through the Office of College Events. A minimum of five days is required for equipment.

Rentals

If the College does not own or have the equipment you require for your event, the equipment can be rented (at an additional cost) through the Office of College Events. A minimum of five days is required for rentals.

Security

Room openings for events, extra security, and additional parking requests for events are arranged through the Office of College Events. A minimum of five days is required for security notification.

Audio Visual

If your event needs microphones,VCRs, audio or visual recording, we suggest you make arrangements with both the Office of College Events and the Audio Visual Office (x2378). A minimum of five days is required for audio visual equipment.

Food Services

All food services (catering) for events are handled through the Office of College Events.The College’s food services company provides the catering for all events; no outside caterers are allowed.The Office will help you design the perfect menu. A minimum of five days is required for catering.
