Building Blocks
Heading
The heading should include your contact information, the date, the name, position and address of the person you are contacting. Include your name in the heading if it is part of the letterhead (see Sample 1 or Sample 2). It is best to have a contact name; however, if it is impossible to address the letter to a specific person, it is better to simply begin with your introductory paragraph.
Body
Write the letter with confidence and sincerity. It is the first example of your writing. The introductory paragraph should contain why you are writing, how you heard of the opening or company/organization, and the name of the position for which you are applying. The middle paragraph(s) explain why you are interested in working for this employer and why you want this job. Highlight relevant education and experience, but do not repeat your whole résumé. Convince the organization that they want and need you, by proposing a mutually beneficial association. Differentiate yourself from other applicants and help the employer feel the value those differences will have for the company/organization. Research the company/organization and demonstrate this knowledge in your letter, including your appreciation of the company/organization's recent accomplishments. Convey focused career goals. If you are unsure of your career goals, then convey focused short-term goals.
Conclusion
The concluding paragraph should contain three essential items: 1) mention you are enclosing your résumé and any supporting materials you may be using to illustrate your training, 2) initiate further contact between yourself and the employer and 3) thank them for their time and consideration. One technique used to initiate further action is to designate a day and time when you will call (see Sample 3). Close with "Sincerely," or if you know the person or have had extended contact with him/her, use "Regards." Your name should be typed below with enough room between for your signature (generally four lines). Below your name type "enclosure(s)" to indicate your résumé and/or other materials are enclosed.
